About Estate 8 at ONEHOPE Winery
Estate 8 is a luxury private residence and guesthouse located in the heart of Napa Valley, offering a curated, high-touch hospitality experience for our community of owners and their VIP guests. The Estate includes the Main House with 8 ensuite bedrooms, two full kitchens, great room, and outdoor recreation/lounge. The Cottage features 2 ensuite bedrooms, a full kitchen, and great room.
We are seeking a highly organized and service-oriented Private Estate Supervisor to oversee all aspects of Estate 8 operations. This on-site position is the face of the Estate, ensuring a seamless guest experience from check-in to check-out, while managing the Estate's daily operations, housekeeping team, vendor relationships, and bespoke hospitality.. Reporting to the leadership of Estate 8 and ONEHOPE Winery, this individual will also support wine tasting experiences, events, and VIP coordination.

Key Responsibilities:

Guest Experience & Hospitality
- Serve as the primary point of contact for owners and VIPs throughout their stay
- Oversee guest check-in and check-out process
- Manage all aspects of the guest experience: in-room amenities, personalized welcome touches, and coordinating deliveries (groceries, flowers, etc.)
- Coordinate and execute special moments such as birthdays, anniversaries, or proposals
- Provide estate tours to first-time visitors and serve as on-call host during guest stays
- Create a warm, home-like atmosphere while maintaining luxury service standards

Property Management
- Oversee day-to-day operations for Estate 8 and Guest Cottage
- Supervise and schedule all housekeeping staff
- Conduct regular property inspections; troubleshoot and resolve any issues with home systems (gate, HVAC, fireplaces, pool, etc.)
- Work closely with the Hospitality and Event Manager to ensure timely completion of household repairs
- Manage all supplies and inventory ordering for the estate
- Coordinate catered meals and support Hospitality and Event Manager to provide operational support for estate-hosted events
- Handle mail intake and delivery for internal teams
- Prepare invoices using POS system, Zoho, and QuickBooks
- Ensure preventative maintenance is performed consistently

Wine Hospitality & Guest Coordination
- Liaise with the Hospitality and Event Manager to support wine tastings and experiences
- Manage the Estate 8 wine program: oversee inventory, billing, and wine selections offered to guests
- Maintain and update guest profiles for all Vineyard Investment Partners
- Serve as an experienced host for on-site winery events and private tastings

Sales & Revenue
- Support guest-facing sales opportunities by sharing information about wine offerings, private experiences, and special add-ons during stays
- Assist in promoting on-site wine purchases, experiences, and estate amenities that enhance guest satisfaction and contribute to revenue goals
- Help prepare for and execute private tastings, curated dinners, and other experiences designed to drive additional sales
- Communicate guest interests, feedback, and potential sales leads to the Hospitality & Event Manager and sales team
- Restock and maintain wine inventory, guest amenity displays, and promotional materials to ensure a polished presentation
- Participate in training to stay informed on current wine selections, estate packages, and seasonal offerings
- Provide thoughtful, personalized service that encourages guests to return, refer others, or explore ONEHOPE’s wine membership or events
- Maintain accurate records related to wine served, experiences booked, and other revenue-generating services provided during guest stays

Qualifications & Required Skills
- 1–3 years of experience in luxury hospitality, private estate management, or concierge-level client service
- Proven ability to deliver exceptional guest experiences with professionalism, emotional intelligence, and discretion
- Strong leadership skills with experience managing housekeeping teams and estate vendors
- Familiarity with premium wines, wine service, and cellar operations
- Highly organized, detail-oriented, and capable of balancing multiple priorities in a dynamic environment
- Tech-savvy with working knowledge of: Commerce7, Shopify, QuickBooks, Tock, and Google Workspace
- Strong communication skills and a polished, guest-facing demeanor
- Ability to work weekends, holidays, and remain on-call during guest stays
- Valid driver's license and reliable transportation
- Physical ability to lift up to 40 lbs. and assist with estate setup tasks

Preferred Qualifications
- Deep knowledge of Napa Valley and Sonoma restaurant, winery, and hospitality landscape
- Experience in event planning and coordinating personalized guest experiences
- Previous experience leading estate tours and wine tastings
- Familiarity with luxury service standards in a relaxed, residential setting
- Existing industry relationships and ability to leverage local networks for guest experiences
- 3+ years experience in luxury hospitality, concierge, and sales arena.
- Proficient or conversant in Spanish

Education
- Bachelor's degree in Hospitality Management, Business, or a related field (preferred)
- Wine certifications (WSET, Court of Master Sommeliers, etc.) are a plus but not required
