Job Description

Description We are seeking a personable, organized, and detail-oriented Medical Receptionist to join our team at a Medical Practice in Santa Cruz. The ideal candidate will play a vital role in ensuring the smooth operation of our front office while delivering an exceptional level of customer service to patients, families, and medical staff. This position requires excellent communication skills, the ability to multitask in a fast-paced environment, and adherence to strict confidentiality standards. Key Responsibilities: + Front Desk Management: + Welcome and check in patients upon arrival while ensuring all necessary forms and information are complete. + Answer and direct incoming calls, providing accurate information about appointments, surgery protocols, and other inquiries. + Appointment Scheduling: + Schedule and confirm patient appointments, surgeries, and follow-up visits, ensuring efficient use of provider and facility schedules. + Assist with managing cancellations, reschedules, and maintaining waitlists as needed. + Patient Records Management: + Accurately input patient data into the electronic medical records (EMR) system. + Maintain patient confidentiality and comply with HIPAA regulations regarding healthcare information. + Insurance and Billing Support: + Verify patient insurance coverage and obtain necessary authorizations or pre-certifications before scheduled procedures. + Collect copayments, outstanding balances, and provide patient billing information as needed. + Communication Liaison: + Act as a point of communication between patients, families, physicians, nurses, and other healthcare staff. + Relay messages and assist with any general inquiries regarding procedures, follow-up care, or facility policies. + Administrative Duties: + Maintain the reception area in a clean and organized manner. + Perform clerical tasks such as filing, faxing, and scanning documents. + Monitor office supplies and assist in ordering replacements when necessary. Requirements Qualifications and Skills: + High school diploma or equivalent required; additional coursework in medical office administration is a plus. + At least 1 year of experience in medical reception, healthcare administration, or a similar role preferred. + Proficient in electronic medical records (EMR) systems (Epic, Cerner, or similar systems preferred). + Excellent customer service skills with a compassionate and professional demeanor. + Strong multitasking, organizational, and time-management abilities. + Knowledge of basic medical terminology and insurance processes is highly desirable. + Familiarity with HIPAA regulations and patient privacy requirements. + Competent in Microsoft Office (Word, Excel, Outlook) and standard office equipment.
