This recruitment will be used to fill one full-time Fiscal Coordinator 2 position for Research Support Services within the Division of Research and Innovation at Oregon State University ( OSU ).

The Research Support Services ( RSS ) resides within the Division of Research and Innovation. Its mission is to offer comprehensive support to individuals in top-tier research at OSU , focusing on department or college levels. RSS provides support directly to researchers, serving as the primary administrative contact for investigators, OSRAA , the research teams, and Financial Strategic Services ( FSS ) teams and directly support the research goals of Oregon State University's strategic plan: Prosperity Widely Shared .

This position reports to the Financial Services Manager in the Division of Research and Innovation ( DRI ). This position will collaborate with personnel across all teams in the DRI . Under the supervision of the Financial Services Manager, the Fiscal Coordinator 2 will provide general, highly detail-oriented fiscal support to the Research Support Services ( RSS ) units under DRI . The position provides focused analytical support to the RSS and DRI Leadership Team and to department heads/directors/unit leaders and researchers by working with substantial amounts of data and multiple complex system processes.

This position interacts with personnel in Research Support Services, Office for Sponsored Research and Award Administration ( OSRAA ), other Division of Research and Innovation units, as well as other campus personnel involved in research administration. This position will collaborate with Controller's Unit, College/Center/Department leadership, and principal investigators to ensure timely, compliant, and accurate information specific to sponsored research. Position will collaborate with researchers, university administration and external agency officials within complex institutional settings. The position may provide focused analytical support to RSS and DRI Leadership by working with large amounts of data and multiple complex system processes. In addition, the incumbent is expected to provide excellent customer service and assistance to OSU's faculty with a positive, partnership focused approach to relationship building both inside and outside of OSU . The Fiscal Coordinator 2 will participate in process improvement work groups. This may include providing input and assistance in streamlining processes of financial records/reporting for RSS units as well as collaborating with other units on campus.

Under the supervision of the Financial Services Manager, Fiscal Coordinator 2 will be responsible for overseeing the administration of sponsored awards (post award), and financial reporting and analysis for Research Support Services. These duties will include fiscal management of sponsored projects, reconciling accounts, financial report preparation, working with principal investigators and leaders in reviewing accounts and planning future projections, processing award adjustments, final cost auditing and closing. This position is expected to review award guidelines and specific award terms and provide financial information to Office of Sponsored Research Award Administration ( OSRAA ) and occasionally to granting agencies in a variety of formats, as required by sponsors. This position will also provide financial reporting, analysis, and strategic planning for Research Support Services units, which will include working with large amount of data and multiple complex system processes.

Fiscal Coordinator 2 position is level two in a two-level position series.

Minimum Qualifications (Staff) / Guidelines (Faculty):

Twenty four (24) quarter, 16 semester or 240 clock hours of accounting courses and three years of *accounting experience; OR a CPA or PA certificate and three years of *accounting experience. *Accounting experience must include at least 8 of the following: creating policies and procedures for fiscal operations; assuring that accounting system reflects program/agency operations; analyzing impact of regulations/changes on accounting budgeting systems; assuring fiscal transactions comply with accepted accounting practices, policies, and procedures; formulating and recommending corrective actions as well as accounting system improvements; developing and monitoring system generated reports; preparing and distributing a variety of fiscal reports; applying computer spreadsheets and accounting software; responsibility for an organization's total accounting functions; knowledge of governmental and fund accounting; analyzing and interpreting financial data; applying audit standards to internal procedures; communicating technical material orally and in writing; solving accounting system and application problems; preparing budgetary and GAAP financial statements; ensuring compliance with federal/state laws and administrative policies. All courses must be from accredited colleges, universities, or private vocational schools.Transcripts must be submitted for all required and/or related courses.

Requirements :

  • Experience working with large and/or complex financial accounting systems.
  • Knowledge and expertise in interpreting federal or other regulations, applying regulations to sponsored or other programs, and conveying the information verbally and in writing
  • Strong time management and organizational skills, including the ability to prioritize and work under firm deadlines when dealing with conflicting and/or multiple priorities in a fast-paced environment.
  • Ability to identify areas of fiscal risk or vulnerability and strategize potential solutions.


This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
