This role tracks to a mid SIX figures and Director of Operations role for the right person! Celeris Talent is hiring an Executive Operations Assistant on behalf of our client, who is a global aerospace manufacturing company! This role is responsible for preparing, managing, and assisting in the day-to-day activities for the Executive they report to. The Executive Operations Assistant carries the same weight and authorities as the executive unless directed otherwise by the executive. This position requires high levels of skill, communication, coordination, and professionalism. This individual needs to have a learning mindset and be training with the executive to act as the replacement for the executive they work with in times of the executive’s absence or as otherwise directed.
This is an exciting opportunity with a high level of career progression for the right person. The schedule can be demanding at times and can include nights, weekends and occasional on call shifts in addition to National and Global travel.

Essential Duties, Responsibilities and Authorities: (Others may be assigned as needed with or without notice)
Gathering the required data and communicating with the executive to:
Respond to emails on behalf of the executive;
Create reports in Word, Excel or other MS Office Software; and Create, build and modify presentations.
Understand HR Policies and Practices
Process onboarding, background checks, new hire paperwork etc. oversee HR system and be HR point of contact when executive is not available.
Participate and take detailed and accurate notes during meetings as required.
Providing the executive, a summary and overview of the meeting including but not limited to: Attendees;
Topics of Conversation;
Who spoke on what and what was said;
Any other necessary information relevant to the meeting or follow-up requirements.
Communicate with internal and external parties on behalf of the executive any relevant information as directed.
Maintain the strictest and highest level of confidentiality - only reporting information up and not to any organizational subordinates of the executive or other executive’s subordinates.
Other duties and responsibilities as necessary to develop the skillset and manage the executive’s role as if it were your own.
Ensure proper documentation and methods used are in accordance with the Quality Management System.
Support the Quality Management System to assure compliance to quality, industrial and government standards and regulations and customer requirements.
Adhere to all Quality Management System procedures and instructions. Maintain a safe, clean, and orderly work environment.
Observe the safety rules and regulations and wear the required safety equipment.
Competencies Proficiency in: MS Word, Excel, PowerPoint, TEAMS Adobe Acrobat Pro
EPICOR ERP/MRP and Paycom
Extremely well organized and well spoken. Clear verbal and written communication
Professional and Courteous representation of the Executive and the Omada TEAM with the Internal TEAM, the Customer, Vendors, US Government, and other external parties.

Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to focus. Education and / or Experience
Bachelor’s Degree; 3 - 5 years of related experience or the combination of both.
