Job Description

We're looking for a proactive and highly motivated Executive Assistant to support our leadership team. This role is more than just managing schedules—it's about driving efficiency, coordinating key projects, and contributing to a positive workplace culture. What You'll Do

Provide direct support to the Director of Administration and executive team.

Manage executive calendars, schedule meetings, and ensure effective time management.

Take detailed notes during meetings, track action items, and follow up on key deliverables.

Conduct research and analyze data to prepare insightful presentations for executive meetings.

Organize and prioritize email correspondence to maintain a structured inbox.

Coordinate travel arrangements, including flights, hotels, and transportation.

Assist with special projects across departments to align with company goals.

Prepare and deliver executive-level presentations in collaboration with subject matter experts.

Facilitate communication between executives and cross-functional teams.

Plan, coordinate, and execute internal meetings, team events, and company-wide gatherings.

Oversee logistics for quarterly and annual planning sessions.

Organize virtual and in-person global events, including volunteer opportunities and team-building activities.

Who You Are

Able to work on-site in Nashville, TN, five days a week.

At least 3+ years of experience in an executive assistant or administrative role.

Exceptional organizational and time management skills with high attention to detail.

Skilled in Google Suite (Docs, Sheets, Slides, etc.) and quick to learn new technology.

A strong communicator with the ability to interact professionally with senior leaders and team members.

Experienced in event planning, meeting logistics, and project coordination.

Able to handle confidential information with discretion and professionalism.

A creative problem solver with a proactive, can-do attitude.

Agile and adaptable, excelling in a dynamic environment with shifting priorities.

Compensation is based on skills, experience, and cost of labor, with an annual salary range of $60,000-$80,000 USD.
